Operations & admin

Will AI replace administrative assistants?

AI is taking over a lot of routine admin, such as scheduling, data entry and standard emails, so roles made mostly of these tasks are changing fast. People who coordinate projects, solve problems and keep teams running smoothly are in a much stronger position.

What admin and operations people really do

Administrative assistants and coordinators keep organisations running. They manage diaries, book travel, organise meetings and take minutes. They enter data, process invoices, keep records tidy and chase people for answers. Project and operations coordinators track tasks and deadlines across teams. Often they are also the person everyone asks when they do not know who else to ask.

The tasks AI is absorbing

Much of this work is exactly what AI tools are good at. They can find meeting times, write up notes and action points, draft standard letters and emails, pull details from documents into forms and produce routine status reports. Requests can be sorted and routed automatically.

Our estimate is that demand for routine admin work is falling. If most of your week is scheduling and data entry, it is worth taking that seriously and planning your next step now.

The value of the person in the middle

Plenty of the job is harder to automate than it looks. Good coordinators know the context nobody wrote down: who really makes decisions, which supplier is reliable, what the boss actually means. They handle exceptions, fix problems on the spot and smooth over tensions. They use discretion with sensitive information and make visitors feel welcome. Physical tasks around an office or site still need someone there.

Turning admin skills into bigger roles

Admin experience is a strong base for several growing roles. Project management means running work from start to finish, not just booking the meetings. Process improvement means spotting what wastes time and fixing it, often by setting up simple automations yourself. Senior executive support can grow into a trusted right-hand role that helps a leader prioritise and follow through. Operations analysis uses the data you already handle to improve how the organisation works.

A simple plan to start

First, pick one repetitive task you do every week and try automating it with the tools your organisation allows. Second, write down how your key processes work, because documented processes are easier to improve and show your value. Third, build your spreadsheet and reporting skills. Fourth, volunteer to coordinate a small project from start to finish. Finally, keep a note of the problems you solved, so you can show your impact.

The bottom line

Admin is changing quickly, but the organising, problem-solving and people skills behind it travel well. Move towards owning outcomes rather than tasks. Take the AI Survival Score test to see which parts of your week are most exposed and what to learn next.
